Email Tips and Tricks for Windows
Use BCC when sending out multiple email
The complete list of email addresses shows in the
recipient's mail if you send or forward email to
multiple addresses using the To button. To avoid them
becoming a victim of spam, use BCC to hide the list of
addresses. To do this in Outlook Express 9, do the
following:
Open Outlook Express. If you do not see the Bcc:
option in the "recipient field", click View on the menu
bar and go to All Headers. Now you should see the Bcc:
option along with the To: and Cc:
Rather than using the To: button, use the Bcc: button
to add the addresses for your mass mailing.
Use Bud's Templates for frequently used responses
You can use Bud to help manage answers to frequent
email subjects. Templates let you create and use
boilerplate responses to the questions and requests to
which you usually find yourself drafting identical
replies over and over from scratch. Use a template as a
basis for your response, and then customize it for that
person or situation.
Zip files before sending - Bud Zip and email
Nobody likes to wait for a long download, and often
this costs the recipient of large email attachments not
only time but also money. Many file
formats are not very space-conscious like the bmp
graphic format and documents created by word processors
like Microsoft Word. Compressing attached files will
dramatically decrease the files size which will decrease
the send/receive time. Added benefits is enhanced
security when used with a password and you can also
group a few files in a single file.
You can use Bud which allows you to email files
without starting your email client up first. The
selected files will automatically packed using ZIP
compression and added as an attachment to a email
message with your default email client. It works
directly in Windows Explorer or from folders - just
select the files you want to zip and email, then drop it
on Bud's Zip & Email button, choose the Zip & Email
option, then pick an email address you're sending it too
and Send. You can also zip the files with a
password for added security.
Filter and clean unwanted email before downloading
with BudPop
Use BudPop to download and view email headers. Then
delete the unwanted email from the server without
downloading large downloads or viruses.
Imbed graphics or send as attachment
Most current email clients do not download graphic
files if it is not imbedded in the email message or
added as attachment. If you want to make sure the
recipient gets the image/s, either send it as an
attachment or imbed it in the html message.
Use jpg format for graphics or if have to use bmp
format, zip it before sending.
